Job Title: Executive Assistant

Reporting To: Managing Director

Salary: £32,500 - £37,100 (£16,000 - £19,000 pro rata)

Working Hours: Part-time (tbc)

Location: Cloughfern Avenue, Newtownabbey

Job Purpose

The Executive Assistant will provide high-level administrative and organisational support to the Senior Leadership Team (SLT), including the CEO, CFO and COO. The role will ensure the effective coordination of executive activities, management of priorities, and delivery of professional support to enable the SLT to focus on strategic and operational decision-making within the business.

Key Responsibilities

Executive Support

  • Provide confidential executive assistance to the CEO, CFO and COO.
  • Manage complex diaries, coordinate meetings, and ensure efficient scheduling of appointments.
  • Prepare, collate and distribute agendas, reports, presentations and meeting papers in a timely and accurate manner.
  • Take minutes, track actions, and ensure follow-up is completed.

Administration & Coordination

  • Coordinate travel, accommodation, and logistical arrangements for the SLT.
  • Support preparation for board meetings, industry events, and site visits.
  • Maintain effective filing systems and document management (electronic and paper-based).
  • Manage incoming communication (emails, phone calls, post), prioritising and escalating where necessary.

Business Support

  • Assist in the preparation of reports, data analysis and documentation required for strategic and operational decision-making.
  • Liaise with other departments (production, logistics, operations, HR, sales, accounts, marketing) to support SLT requirements.
  • Track and monitor deadlines for statutory, financial and operational reporting.
  • Undertake confidential HR and compliance-related administrative tasks as delegated.

Relationship Management

  • Build and maintain strong working relationships with key stakeholders across the business, suppliers, and customers.
  • Represent the SLT professionally in all communications and interactions.
  • Handle sensitive information with discretion and maintain the highest standards of confidentiality.

Person Specification

Essential Criteria:

  • Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience).
  • Minimum 3–5 years of experience supporting senior executives, preferably in a fast-paced corporate environment.
  • Strong organisational and multitasking skills with the ability to prioritise effectively.
  • Excellent verbal and written communication skills, with a professional demeanor for liaising with stakeholders at all levels.
  • High level of proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
  • Strong attention to detail and accuracy.
  • Ability to work with discretion and maintain confidentiality.
  • Proactive and adaptable approach to work including anticipating executive needs.

Desirable

  • Certification such as CAP (Certified Administrative Professional) or Executive Assistant Diploma is a plus.
  • Experience working within the construction, manufacturing, or industrial sectors.
  • Knowledge of compliance and reporting requirements within the UK/NI business environment.
  • Minute-taking and report-writing experience.
